ABOUT Stichting White Helmets Foundation / THE WHITE HELMETS

The Stichting White Helmets Foundation (SWHF) is an independent, international not for profit organisation that aims to provide aid to communities and persons recovering from conflicts and disasters; provide support and orientation to refugees and communities in hosting countries; and support justice and human rights efforts. The SWHF works in partnership with WH offices in Syria, Turkey and Canada. The Visual Documentation Team (VDT) is based in The Netherlands. The VDT project is a justice and accountability project that addresses relevant issues in Syria and aims at assisting transitional justice mechanisms and other research processes.

SCOPE OF WORK

Under the supervision of the Programs Development Manager, the Sr. Reporting Officer will be responsible for ensuring effective reporting of project activities as well as assigned activities, with the aim of achieving the goals and objectives of the project.

Tasks and activities:

Reporting:

  • Prepare high quality reports on project activities and expenditures, ensure compliance with the best standards.
  • Provide program teams with proofreading to ensure the highest possible quality of reports.
  • Prepare multi-project reports.
  • Prepare ad hoc/spot reports as required and in collaboration with relevant departments.
  • Support the monitoring and evaluation team in documenting and tracking project results as per donors’ requirements.
  • Participate in project reviews.
  • Participate in the development of project documentation.
  • Attend and actively participate in project events (meetings/workshops/trainings).
  • Undertake other program administration duties as required.

Internal Communications:

  • Maintain regular and effective communication with the field staff and headquarters departments.
  • Organize and participate in periodic meetings with internal stakeholders as needed.
  • With the advice of the line manager, update the database (donors, consultants, networks).
  • Coordinate with project teams to document project achievements.

External Communications:

  • Effectively participate in special project events in collaboration with the program team.
  • lead on the production of communication tools: video clips, leaflets, press releases/press kits, databases.
  • lead on the organization of visits (donors, field office and support office staff, other visitors).
  • Perform any other relevant tasks assigned by the line manager.

Required qualifications: Education, Experience and Competencies:

  • Must have a bachelor’s degree in literature, social development, business administration or related field. A master’s degree is preferred.
  • Fluent in English (spoken and written).
  • Fluency in Arabic and French is an asset.
  • Experience in a humanitarian context with a focus on project management, monitoring and evaluation or reporting is desirable.
  • Skills in monitoring and evaluation are strongly desired.
  • Advanced skills in MS Excel, proficiency in Word and Power Point, Adobe Acrobat, Vizio and basic graphic design skills are desirable.
  • Outstanding organisational and time-management abilities.
  • Excellent communication and interpersonal skills.
  • Cross-cultural communication and interpersonal skills, and able to interact professionally with culturally diverse staff and stakeholders.
  • Ability to effectively perform clerical work with a high degree of accuracy and attention to detail.
  • High standards of confidentiality, reliability, and discretion.
  • Integrity by sharing the organization’s values and ethical standards.
  • Pro-activity and creative thinking.
  • Excellent ability to follow-up on ongoing processes.
