POSITION TITLE: Coordinator, Executive Office

STATUS: Full time / Exempt

LOCATION: Chicago, IL (Hybrid: 2 days/week on-site, 3 days/week remote)

The National Council States Boards of Nursing (NCSBN) is an independent, not-for-profit organization through which nursing regulatory bodies act and counsel together on matters of common interest and concern affecting public health, safety and welfare, including the development of nursing licensure examinations. Our mission empowers and supports nursing regulators in their mandate to protect the public.

JOB SUMMARY

We are seeking a talented administrative professional to join our Executive Office team. The ideal candidate will bring value to the team by assisting with Board of Directors (BOD) processes, organizational projects, Annual Meeting, and coordinating staff and BOD member attendance at external meetings.

Reporting to the Director, Executive Office, the Coordinator will interact with NCSBN’s BOD and other internal stakeholders while coordinating logistics, processes, and meetings for the BOD and the Executive Office team.

This role is an exciting opportunity for an individual with established experience supporting executives and/or BOD members who is looking to enhance their administrative expertise, while working for an organization committed to advancing nursing regulation and policy worldwide!

RESPONSIBILITIES

  • Assists with BOD processes, including logistics for each board meeting and external meeting attendance by BOD members, and annual preparations for incoming BOD members.
  • Works with Director, Executive office on assigned organizational projects.
  • Assists Executive Office with duties for Annual Meeting, including document preparation, editing and collation, room set up, and support of run-of-show responsibilities.
  • Supports the Executive Office in the tracking of NCSBN staff attendance at external meetings, including the provision and collection of after-action reports and facilitating the review of these reports by the CEO.
  • Performs other duties as assigned.

QUALIFICATIONS

  • 3 or more years of experience in the executive office or executive assistance fields.
  • High-school diploma or GED required.
  • Strong verbal, written, organizational, critical thinking and analytical skills required.
  • Professional interpersonal skills.
  • Attention to detail, adaptability, and flexibility in a fast-paced environment.
  • Proficiency with Microsoft Office programs and the ability to learn new technologies.
