Role Summary

Finite State is looking for an Event Coordinator. In this role you will oversee planning and execution of all company events. You will be communicating with conference organizers, planning attendance, as well as planning & executing logistics. This role will report to the EVP of Marketing. .

You must be based in and authorized to work in the US.

As an Event Coordinator, you will:

  • Drive the company’s mission by always representing our vision in every event and conference
  • Own every aspect of an event, from venue and vendor choice to success metrics
  • Gain a complete understanding of the requirements for events considered, and the fit for Finite State based on persona targeting and content themes
  • Work with design and marketing to coordinate development of marketing content and creative collateral to meet all deadlines
  • Day-to-day administration and execution of events and programs including identifying events to attend, placing orders, monitoring vendors, travel planning, facilitating company attendees, monitoring registration, tracking RSVPs, answering questions,resolving issues and anticipating challenges in executing events well
  • Conduct post-event data and strategic analysis to improve future events
  • Perform virtual and webinar related activities as needed
  • Negotiate and manage contracts and budgets, keeping event budgeting aligned to the operating plan
  • Negotiate sponsorship contracts and identify cost savings where applicable leveraging cross-enterprise relationships

What we’re looking for:

  • Proven experience in event planning or event coordination in a startup environment
  • Track record of creative, successful events
  • Past experience working with colleagues in graphic design, sales, marketing and communications specialties
  • Excellent organizational, communication, negotiation, and multitasking skills
  • Ability to remain calm under pressure without losing a customer-service oriented attitude

It’s a plus if you also have:

  • 1+ years of experience with cybersecurity events/conference management
  • Existing vendor relationships
  • Experience managing budgets and expense tracking
  • Advanced knowledge of Word, PowerPoint, Adobe Acrobat, and Excel

Success path

  • In 30 days you will: integrating quickly into our current events activity and looking forward to building out an events plan for the rest of 2022
  • In 60 days you will: Build out the 2022 event plan, support the measurement of events into the Marketing and Sales funnel and support the strategic build-out of 2023 events
  • In 90 days you will: Start to support Finite State event planning for corporate retreats and continue to improve how we execute events and improve lead conversion over time
