WORKING RELATIONSHIPS
Reporting to the Executive Assistant, the Team Administrative Assistant will interact with a broad range of internal and external individuals including our leadership team and executive contacts.
Accountabilities
- Manage Executive calendars for appointment and meeting scheduling both internally and externally
- Manage Executive contacts
- Provide administrative support to Leaders/Business Units/Departments as necessary
- Scanning, photocopying, mailing, filing and retrieval of documents, referencing materials, maintaining spreadsheets and ad-hoc tasks as required
- Assist with catering requirements for meeting and special event planning
- Facilitate boardroom/meeting room set up and take down for internal and external meetings, ensuring space is presentable before and after meetings
- Arrange travel plans, itineraries, meetings, and travel agendas
- Draft, format, and proofread a variety of documents including correspondence, memos, detailed reports, and meeting agendas
- Complete and submit detailed expense reports as required
- Perform other related duties in keeping with the purpose and accountabilities of the job
Requirements
- High School Diploma or equivalent
- Related Post-Secondary education or certificate considered an asset
- 2+ years of administration, office, and/or executive support experience
- Experience managing multiple calendars, meeting requests, and general administrative support to a team in a fast-paced environment
- Experience with systems, operational processes, and administrative procedures such as travel arrangements, document preparation, and records tracking systems
- Intermediate to advanced computer literacy with excellent practical knowledge and skills with the Microsoft Office Suite, including Word, Excel, and PowerPoint
- Advanced skills in Microsoft Outlook and Teams are an asset
- Experience or knowledge within the agriculture and/or tech industry is an asset
- Ability to and enthusiasm for identifying workflow issues, proposing solutions, and implementing changes
