Position Description

Reporting to the Continual Improvement Manager, the successful candidate will perform a variety of duties related to accounts receivable, accounts payable, bookkeeping, and project and financial reporting. The Accounting Clerk will support project controls functions as well as corporate finance and accounting processes.

Duties and Responsibilities

Accounts Receivable

  • Generate draft invoices and working with the Project Controller and Project Managers to issue finalized invoices to clients.
  • Reconcile ledgers to ensure invoicing and billing information is accurate.
  • Address billing discrepancies and questions from clients about invoices.
  • Keep accurate records of payments as they are received from clients.
  • Follow up with past-due accounts for collections with project managers and ensure timely collection of payments.
  • Prepare analyses of accounts and produce monthly accounts receivable reports.

General

  • Support bookkeeping and accounts payable functions when required.
  • Reconcile bank statements and credit cards monthly.
  • Send sub-consultants’ invoices to project manager or department head for approval.
  • Pay vendors by scheduling EFTs and ensuring payment is received for outstanding credit, responding to vendor enquiries.
  • Remit payments and track receipts of transactions.
  • Enter accounts payable invoices in Quick Books Online and track all payments and expenditures, invoices, credit cards and vendor statements.
  • Support the continuous improvement of company accounting and project controls processes.
  • Actively participate in company meetings and functions.
  • Other duties as may be required.

Skills and Qualifications

  • At least three (3) years of experience in similar bookkeeping or accounting clerk role OR a Diploma in Business Administration, Accounting, or related program and minimum one (1) year experience in bookkeeping or a related role.
  • Understanding of Canadian Generally Accepted Accounting Principles.
  • Excellent time management and organization skills.
  • Excellent communication and customer service skills.
  • Keen attention to detail, with an ability to spot and resolve errors.
  • Advanced skills working with Microsoft Office (especially Excel) and QuickBooks Online.
  • Respect of confidential employee and organization information and intellectual property.
  • Familiarity with the consulting industry an asset.
  • Indigenous lived experience an asset.

Working Location

Work will be performed in the Victoria office; hybrid or remote work arrangements may be possible depending on candidate location and experience.
