Job Description

This position helps make gospel teachings, resources, or services accessible to all in a simple and affordable way, supporting the mission of the Church.

This position provides senior level administrative support in Global Fleet Services. May also provide Fleet information and assistance to Mission Vehicle Coordinators, Church department drivers, and others – who contact Church headquarters for help. This includes providing information about all aspects of Fleet management including acquisition, maintenance, driver certification, repairs, and vehicle sales.

Responsibilities

Percentage of time spent on the following responsibilities may vary depending on the individual assignments given.

25% Provides senior administrative support to Global Fleet Services: produces needed reports, coordinates communication and processes involving vendors, manufacturers, transporters, vehicle brokers, etc.

20% Coordinates with missions and departments on vehicles that are scheduled for sale. Insures vehicle preparation for sale and arranges sale with individuals, brokers, dealerships.

20% Generates purchase orders from build sheets produced by the Acquisition Mgr. Accuracy and detail are critical for timeliness of delivery and correct vehicle options.

10% Responsible for New Vehicle Invoice Processing. Performs audit and entry of vehicles into CARS system. This data generates the asset log / history and proper documentation is vital.

10% Produces Acquisition Report. Documents vehicles that have been received and not paid for. Analyzes and investigates problems associated with delivery. Works with delivering dealers to insure timely vehicle delivery.

5% Responsible for ensuring that all procedures and paperwork have been followed prior to authorizing the release of vehicle title to buyers.

5% Generates and analyzes Over Mileage Report to department drivers generating new vehicle applications for replacement of fleet vehicles minimizing asset value loss by timely transactions.

5% Provides senior level support of Director of Support Services, Vehicle Review Committee and other Fleet Managers.

Qualifications

  • Associates degree with 5 years of experience in an administrative role, or equivalent combination of education and experience.
  • Advanced computer skills with demonstrated proficiency in Microsoft office tools such as Word, Excel, Outlook, Decision Point, etc.
  • Must be able to multi-task and have the ability to learn and grasp new concepts in a changing environment.
  • Sound ability to tactfully and diplomatically communicate and handle difficult issues.
  • Have the ability to learn and understand all phases of automotive repair, vehicle maintenance policies and terminology
