About the Opportunity

The Coordinator, Board Committee provides comprehensive administrative and clerical support to MNBC Board committees. The Board Committee Coordinator drafts and edits correspondence, manages meeting logistics, attends meetings to assist with minute taking and notes, and tracks action items for follow-up. They maintain committee member records, communicate with members on behalf of each specific committee chair, and liaise with the Board Secretariat. Coordinator. They ensure effective communication between the Board Secretariat, individual Board Members, and the MNBC Board as a whole. They may also assist with planning and supporting the Metis Nation General Assembly and Annual General Meeting.

Duties and Responsibilities

• Provides administrative assistance to MNBC Board committees, including writing and editing correspondence.

• Organizes meetings, including scheduling, sending reminders, preparing meeting agendas, and organizing catering, as needed.

• Attends all committee meetings and assists with the preparation of meeting minutes and notes.

• Records all action items and follow up with corresponding Board Ministers, CEO, and Senior Directors to ensure completion.

• Maintains accurate list of all committee members and reports any vacancies to the MNBC Board.

• Liaises with committee members on behalf of the committee chair and Board Secretariat.

• Works with MNBC Communications to advise of any pertinent information that needs to be updated on Board member and committee web pages.

• Works closely with the Board Secretariat to ensure all pertinent information is communicated with the Board Ministers.

• Supports the planning of the Métis Nation General Assembly and the Annual General Meeting, as required.

• Ensures committee meeting agendas, minutes, and attachments are saved to appropriate folders.

• Answers incoming phone calls and accurately takes and relays messages.

• Participates in committees and project teams as required.

• Undertakes related duties as assigned, consistent with the job grade of the position.

• Other duties may be assigned as needed to ensure the efficient operation of MNBC.

• Regular/ occasional attendance at meetings/ events that may require work and travel outside of normal business hours.

Qualifications

• Bachelor’s Degree or two-year diploma in Public Administration, Political Science, Governance, or a related field.

• Minimum of five (5) years of experience in a related field (Board/Council administration, committee administration).

• A combination of relevant experience, education, and training will be considered.

• Experience operating standard office equipment.

• Ability to maintain a high degree of confidentiality and act with appropriate discretion, in a calm and professional manner.

• Demonstrated ability to communicate at a high level both verbally and in writing

• Demonstrated ability to problem solve and make decisions.

• Proven ability to utilize strong interpersonal skills to deal with others effectively.

• Proven ability to prioritize tasks, meet deadlines, and work with minimal supervision.

• Proven ability to utilize, adapt and embrace new technologies, including MS Office 365, virtual meeting platforms, document-sharing platforms, and other database/software required by the role.

• Knowledge and/or awareness of the historical and contemporary contributions made by Métis people in B.C.

• Possession of, or the ability to obtain, a Class 5 driver’s licence may be required.

• The position may require the completion of a Criminal Record Check and Vulnerable Sector Check.
