Events and Office Coordinator, Berkley Center – Georgetown University
Georgetown’s Berkley Center for Religion, Peace, and World Affairs seeks a more just and peaceful world by deepening knowledge and solving problems at the intersection of religion and global affairs through research, teaching, and engaging multiple publics.
Job Overview
The Events and Office Coordinator (EOC) is responsible for the planning and executing of, and follow-up on, all Berkley Center events, which include formal conferences, symposia, receptions, student events, webinars, and Center-internal events and meetings, and for the day-to-day administration of the Center. Reporting to the Executive Director and the Senior Business Officer, the EOC collaborates with Center faculty and staff, including the Center Communications Manager, Communications Associate, Multimedia Production Specialist, and Program Associate, to plan and organize events, develop event marketing and other communications material, coordinate event coverage (filming, photography, feature story, post-event follow-up), and process payments and settle invoices.
Work Interactions
Responsibilities
They interact with invited event participants and attendees in person and via email, manage relationships with vendors, and may also liaise with the Office of the President and other university partners as needed on high-level of co-sponsored events. In the performance of their office management responsibilities, they work with departments across the university, including with those in the Office of the Chief Financial Officer, Facilities, and UIS, and with vendors; and may supervise one student employee. Additional duties include, but are not limited to:
Event Planning and Management
- Oversee event scheduling and logistics.
- Coordinate and manage vendors.
- Track event budgets and process payments in collaboration with Finance.
- Coordinate travel arrangements and accommodations.
- Coordinate and communicate with internal and external event partners.
Event Marketing and Communications
- Coordinate with other on-campus units to promote events in weekly newsletters on the university website and anywhere else needed.
- Coordinate event coverage, including filming, photography, and media coverage in coordination with Center communications staff.
- Craft, coordinate, and manage post-event follow-up, including event video circulation (full and clips).
Qualifications
- Bachelor’s degree
- Experience with event management
- Experience working with vendors and partners from a variety of international backgrounds Strong written and oral communications skills
- Proven skills in time management
- Ability to exercise discretion and maintain grace under pressure
- High degree of organizational administrative ability and project management skills
- High attention to detail
- Collaborative work style and ability to receive feedback with a willingness to respond to an evolving set of priorities
Work Mode: Hybrid (4 days on campus, 1 day telework). Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University. Pay Range
The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:
$44,022.00 – $73,406.80
Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
