The Executive Assistant serves as the primary point of contact for the Chief Financial Officer’s office for internal and external constituencies. This role has responsibilities that involve work of a confidential and complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact, and diplomacy. The role serves as a liaison to leadership and oversees special projects.

ESSENTIAL DUTIES include the following. Other duties may be assigned.

Executive Support

  • Provides executive administrative and operational support to the CFO and finance team including compliance, for general office and administrative tasks, including calendar management, scheduling and coordinating meetings, preparing ad-hoc reports, expense reports, PowerPoint presentations, planning logistics for travel plans, and/or other similar activities.
  • Manages the CFO’s email correspondence including prioritizing correspondence, preparing draft responses, and keeping the email inbox current and clear.
  • Works closely with the CFO to keep them informed of upcoming commitments and responsibilities by following up appropriately and ensuring that the CFO is prepared for meetings.
  • Conducts research, prioritizes, and follows up on issues and concerns addressed to the CFO and other department managers, including those of a sensitive or confidential nature.
  • Recommends appropriate course of action, referral, or response for issues and concerns.
  • Organizes, maintains and updates files, databases, records, and/or other documents, including electronic documents for the Finance department, including electronic records, corporate contracts, policies and procedures.
  • Attends meetings as required to provide administrative support, note taking, and ensure follow-up tasks are completed.
  • Provides guidance to staff, internal departments, and others to prepare for CFO meetings.
  • Provides a bridge for smooth communication between the CFOs’ office and internal departments, building relationships throughout the organization that will assist the CFO, Compliance Director and Finance department in achieving organizational objectives.
  • Handles customer information requests from banks including processing requested documents for the CFO’s signature.
  • Maintains Finance and Compliance task list, including reminders and status updates.
  • Reviews, maintains and provides adjustments to accounting system codes for recurring internal transactions and allocations.

QUALIFICATIONS

  • Bachelor’s degree or equivalent work experience.
  • 5-7 years of experience supporting C-Level Executives as an Executive Assistant.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong sense of discernment and a proven ability to handle confidential information with discretion.
  • Consistently demonstrates emotional maturity.
  • Demonstrated record of exceptional standards, including attention to deadlines, budgets, and quality of work.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  • Excellent written and verbal communication skills with the ability to effectively relate across all levels of the organization and in a global environment demonstrating cultural awareness and sensitivity.
  • Proficient in Outlook, Word, PowerPoint, and Excel. Smartsheets experience is a plus.
  • Highly resourceful and proactive team player, with the ability to act on their own initiative.
  • Experience dealing with legal contracts and banking information a plus.

LANGUAGE SKILLS

Fluency in English both written and verbal. Additional language fluency such as Spanish, or French are a plus.
