Contract duration: 1 year (2 months as initial probation period)

Reporting to: Country Programme Coordinator

Supervision of: N/A

Dependents: Accompanied duty station

General context of the project

INTERSOS has been present in Iraq since 2003 and currently operates across Ninewa, Salah Al Din (SAD), Erbil, and Sulaymaniyah Governorates. INTERSOS thematic sectors of intervention are Protection, Education and Health. The INTERSOS coordination office is in Erbil with bases located in Tikrit, Mosul, Telafar and Sulaymaniyah and programming presence in other areas of Ninewa, SAD and the Kurdistan region. As of mid-2022, INTERSOS Iraq has 300 national staff, 18 expat staff and 200 volunteers. By applying an integrated programmatic approach, INTERSOS provides lifesaving services and supports durable solutions for women, men, girls and boys in IDP, refugee and host communities in its areas of intervention.​

General purpose of the position

In close collaboration with the Programme, Technical and MEAL units, the Grants Manager will:

  • Ensure timely support for the design and development of new project proposals, ensuring these are in line with INTERSOS’ mission goals, objectives and indicators, and according to donors’ template and procedures.
  • Ensure that programs’ design matches INTERSOS and donor technical minimum standards and are in line with MEAL department guidance and tools.
  • Ensure the compilation, review and submission of timely, compliant and consistent reporting per INTERSOS and donor requirements.
  • Assist in the coordination of detailed plans at the start of funded projects, which is consistent with program documentation (grant document and proposal).
  • In coordination with the Programme Managers, prepare and conduct project kick-off meetings.
  • Flag significant deviation from the program implementation plan and estimated expenditures; alert relevant staff.
  • Develop and implement a consistent filing structure and ensure that the project folders are complete and arranged (agreement, amendments, NFFs, signed reports, communications, etc.).
  • Assist in compiling and disseminating grant information to other departments and donors.

Main responsibilities and tasks

Project Management

  • Support Programme Managers in the general management of program related tasks
  • In coordination with the MEAL unit, assist the Programme Managers in the development and coordination of detailed implementation plans on a monthly basis, consistent with program documentation (grant document and proposal).
  • Review and record feedback on file management and program management tools
  • Conduct a periodical review of all project related documentation, ensuring correct storage, and archiving on INTERSOS Drive and INTERSOS Management Platform (IMP)
  • Responsible for the communication with national and international partners, under supervision of the Country Programme Coordinator.

Project Reporting and Development

  • Developing regular reports, including donor and other external reporting, ensuring accurate data collection and timely submission
  • Support the mission in the identification, preparation and development of new project proposals, ensuring these are in line with INTERSOS’ program goals, objectives and indicators
  • Support in the implementation of field assessments, studies and research as necessary
  • Assist in data management and analysis and visualization of program outputs for monitoring and reporting purposes

Communication

  • Support the mission by writing and editing program-related media releases, internal and external communications, success stories, interviews and flash updates, to be shared with HQ and submitted to donors, under supervision of HoM and CPC.

Required profile and experience

Education

Relevant university Degree or equivalent experience.​

Professional Experience

  • At least three (3) years of relevant professional work experience in humanitarian context
  • Demonstrated direct experience in dealing with grants (proposal development and/or reporting) with a minimum of two donors (preferably from the following list: UNHCR, AICS, DG-ECHO, UNICEF or other UN agencies).
