PURPOSE OF POSITION:
ARK Group’s HR department provides support services across all projects and offices. A partnership approach facilitates and enhances HR related matters, to the benefit of employees, management, consultants, projects, and partners.
The HR Officer will be responsible for providing overall HR support to the Lebanon office and project team. The HR Officer will work closely with the Senior HR Officer and the Corporate Services Department to ensure the provision of excellent quality HR services.
KEY RESPONSIBILITIES:
Recruiting and Selection:
- Maintain up to date generic Job Description (JD) Library.
- Coordinate the production of specific JDs for post vacancies.
- Post the vacancy on appropriate job portals and social media and forward applications to the hiring team.
- Screening of applications and shortlisting candidates.
- Assist in the administration of and preparation for candidate interviews.
- Assist in the drafting and issuance of employee documentation such as Recruitment Approvals, NDA, and Conflict of Interest agreements and conducting reference checks.
- Assist in the drafting of employee and consultant contracts, ensuring that they are compliant with local employment law.
HR Administration, Systems and Compliance:
- Maintain up to date document records for employees and consultants.
- Monitor contract end dates and extension dates in order to ensure continuity of service.
- Ensure that Payroll reporting is carried out in a timely manner.
- Process Consultant Invoices and the requisite payment requests to the Finance Department.
- Process other HR-related invoices such as medical insurance renewals and online job portals
- Maintain and update staff medical insurance records.
- Support employee performance management system and probationary review process.
- Coordinate flight bookings, accommodation, and visas as appropriate.
- Prepare correspondence/documentations (reference letters, NOC, salary certificates, visa etc.) required for colleagues.
- Ensure HR profiles are created, and staff documents are uploaded accordingly.
- Ensure that all staff members are familiar with the HR system and their responsibilities regarding timesheets, leave applications and sickness reporting.
- Ensure that Project & Line Managers are briefed regarding the Probationary Period Reporting and their responsibilities.
- Work closely with the Senior HR Officer and assist on the onboarding and offboarding process.
- Ensure that exit procedures are carried out, including the handing-in of all company-issued equipment and documentation.
- Assist in the conducting of exit interviews by the Line Manager and Country Manager (if appropriate).
- Liaise with the Finance Department regarding final payments.
- Support with employee registration process, including liaising with social security authorities, accountants, and legal representatives as and when required.
- Provide guidance when needed to HR related queries.
SKILLS, KNOWLEDGE AND EXPERIENCE:
Essential
- Excellent Excel, Word and PowerPoint skills.
- Solid knowledge and understanding of local labour law, HR processes, policies, and systems.
- Excellent verbal and written communication skills in English.
- Attention to detail, ability to work independently and meet tight deadlines.
Desirable
- A degree in Human Resources, or closely related field preferred.
- A minimum of 3 years of experience in a similar role.
