Position Title: Item Master Analyst, Pharmacy and Sourcing
Reports to: Associate Director of Pharmacy and Sourcing
Location: Boston, MA or Remote within the US, up to 10% travel preferred

Position Overview: The Item Master Analyst plays an important role in the optimization of Partners In Health’s (PIH) product catalogue and Global Formulary. As part of the Pharmacy and Sourcing team within the International Operations department, the analyst will execute day-day operations related to product creation, product management, and data optimization. The Analyst will work closely with members of PIHs programs and clinical teams to understand requirements for new items and procurement activities. This individual must be detail oriented, organized, and proactive, with a service-oriented mindset and strong communication skills.
Responsibilities:
Item Master Management (70%):
- In collaboration with technical leads, manage and review the creation of all new items in PIH’s electronic logistics management information system, OpenBoxes. Ensure items are named in accordance with PIHs product naming standards, and that relevant data points are captured.
- Actively manage vendor and sourcing data in OpenBoxes, including the creation of sources after approval/qualification and ensure that sourcing information remains accurate.
- Maintain up to date purchasing contract data in OpenBoxes.
- Undertake regular data cleaning of the item master, ensuring pertinent information is accurate for catalogue and global formulary items, including but not limited to storage requirements, item pictures, program tagging information, hazard class and other data points as required
- Ensure product changes within the Global Formulary are communicated to end users throughout the PIH network.
- With support from technical leads across PIH, act as the focal point for Global Formulary queries from end users, including costing and item availability
- Maintain product substitution and association data (i.e., linking medical equipment with required consumables and spare parts)
- Assist with the creation and updating of site-based stock lists as needed, including implementing global formulary changes
Process Optimization: (30%)
- Contribute to data quality improvement initiatives
- Conduct data analysis and prepare reports as needed
- Contribute to the design of new OpenBoxes features and new automated reports
- Contribute to budget preparation and grant reporting
- Identify and implement process improvements to optimize the management of the PIH Item Master
- Act as Item Master point person for assigned sites and departments; communicate site needs and priorities to colleagues and managers.
Qualifications
Required:
- 3-5 years relevant work experience or a combination of work experience and education in procurement, sourcing, logistics, international development, healthcare administration or similar field
- Demonstrated success managing large orders or data sets with high attention to detail
- Experience using logistics management information systems or proven ability to learn new electronic systems quickly
- Ability to follow established processes and experience implementing process improvements
- Willingness to do important repetitive tasks and data entry and ability to see their connection to larger team and organizational goals
- Intermediate Microsoft Excel skills
- Demonstrated success responding to a high volume of requests with a customer service approach; ability to react to needs based on changing priorities and with a sense of urgency
- Excellent organization and communication skills
- Ability to work well with a diverse team, honoring concerns and priorities of field-based staff
- Interest in social justice and health equity
Preferred:
- Experience with international pharmaceutical and/or medical supply procurement
- Ability and willingness to travel up to 10% of the time
- Proficiency in French and/or Haitian Creole
- Advanced Microsoft Excel skills
