Reception duties include:
- Answering phones and routing messages
 - Sorting mail, processing incoming and outgoing faxes, and filing
 - Maintaining office supplies and completing purchase orders
 - Greeting and directing visitors and advising staff of appointments
 - Assisting with check distribution
 - Manage client appointments for various staff and programs
 
Coordination of apartment set-ups and donation drives duties include:
- Serve as contact for calls regarding donation pickup.
 - Managing thank you letters and donor tax receipts
 - Organizing donation pick-ups, including U-haul pick-up and delivery activities
 
Tracking volunteer activities duties include:
- Tracking volunteer time sheets and activity logs for government reporting
 - Notifying community of volunteer needs
 - Assist with volunteer orientation and paperwork as needed
 
Assisting staff with government reports and intake procedures duties include:
- New case file setup for various programs
 - Entering client data into program databases
 - Maintaining accurate records through case file maintenance, recording of client activity, and filing
 - Attend trainings and meeting as requested by Area Director
 - Assisting with other duties as requested by the Area Director
 
Qualifications
- Bachelors degree preferred
 - Must have excellent communication skills both verbal and written; high English language proficiency required; fluency in Spanish preferred
 - Experience working with diverse populations and/or refugee programs desired; willingness to assist newly arrived refugees better understand the conventional, American office space including educating clients on appointment making, canceling and rescheduling appointments etc.
 - Must have excellent communication skills both verbal and written
 - Must be flexible, capable of working independently under pressure and managing multiple priorities
 - Excellent computer skills including Microsoft Office applications (Word, Excel, and Outlook) as well as Google calendaring
