Overview of Position

  • CTG is looking for qualified staff as per TOR below

Role Objectives

  • Ensure accurate & timely processing of the mission’s telephone bills for the desk phones, cell phones & satellite phones.
  • Review invoices & approve for payment.
  • Control & follow up on all vendor payment requests to the finance section.
  • Provide reports on all pending & processed invoice transactions & on the cost trends & variations on the billing of all services being utilized.
  • Manage the status of accounts & balances & identify inconsistencies.
  • Provide estimating future projections based on historical use in the budget.
  • Liaises with the finance section to recover all telephone costs for private use.
  • Ensure all clients remain informed on their outstanding debts & deadlines.
  • Address complaints & queries on any anomalies in billing.
  • Issue & receive SIM cards.
  • Update the user records in the telephone billing database.
  • Liaise with telecom companies for the issuance or replacement of SIM Cards.
  • Provide advice & guidance to staff on all matters related to telephone services.

Project Reporting

  • Reports to the line manager

Key Competencies

  • High School Diploma / Associate’s Degree or relevant certification is a plus.
  • Minimal 5 year experience in administrative support.
  • Experience in accounting, budgeting & preparing reports.
  • Knowledge of office management systems & procedures.
  • Proficiency in MS Office, particularly Excel.
  • A high degree of attention to detail & trustworthiness.
  • Ability to provide a professional interface with the user community.
  • Good interpersonal skills.
